Position Overview
The Executive Assistant (EA) to the Wonder Leadership Team provides high-level administrative and strategic support, essential to the coordination, communication, and daily operations of the leadership team. This role calls for a professional with exceptional organizational skills, business acumen, and strong analytical abilities, particularly in mathematical tasks, along with polished business and communications writing capabilities. The EA will handle meeting scheduling, notes summarization, priority communications management, data entry, and occasional personal support for leadership, enabling them to stay focused on critical business needs. Responsibilities include maintaining confidentiality, exercising sound judgment, and responding to all communication channels within a 15-minute window during business hours (8:30 am - 5:30 pm, weekdays). The EA may also run occasional errands as needed to support leadership needs. Primary communication tools include email, text, Slack, and Zoom.
Successful Outcomes
Short-Term (0-3 Months)
- Quickly integrate with Wonder’s communication and scheduling systems, meeting the 15-minute response requirement consistently during designated hours.
- Efficiently coordinate and schedule both recurring and ad-hoc meetings, using business writing skills to produce clear, professional summaries and action points.
- Proactively manage and prioritize emails, identifying urgent messages and crafting effective written responses to notify team members.
- Gain proficiency with Wonder’s travel, expense tracking, and reporting tools, assisting with travel and expenses as required.
- Maintain accuracy and clarity in all data entry, reporting, and documentation processes, demonstrating mathematical precision.
Long-Term (6+ Months)
- Become an indispensable, organized, and reliable team member, ensuring the leadership team’s day-to-day operations run smoothly with minimal oversight.
- Proactively manage routine reporting, expense tracking, and travel planning tasks, providing seamless support across these areas.
- Refine the process for meeting summaries, delivering concise, actionable recaps for all stakeholders.
- Successfully plan and coordinate events, demonstrating exceptional organization and attention to detail in managing event logistics and support.
- Continue to exercise sound judgment, anticipating the leadership team’s needs and independently addressing personal or business-related tasks when possible.

- Experience with meeting transcription and summarization, with the ability to distill complex information into actionable points.
- Proficiency with remote communication tools, including Slack, Zoom, and other essential platforms.
- Familiarity with expense reporting and travel planning.
- Flexibility for occasional in-person assistance and errands as required.
- Reliable technology setup to ensure remote responsiveness and communication.
